Privacy Policy

Introduction

Cedar Dynamics LLC ("Cedar Dynamics," "we," "us," or "our") built Walkup Pro as a tool for coaches, parents, and fans to create memorable walkup experiences for baseball players. We are committed to protecting your privacy and being transparent about how data is handled in the app. This Privacy Policy applies to the Walkup Pro apps for iPhone and Android, the web app at app.walkuppro.com, and the website at walkuppro.com.

The Short Version

On iPhone, your rosters, songs, and recordings live on your device, and sync to your own iCloud account if you have iCloud turned on. On Android and the web app, your teams are kept on our servers so they reach every device you sign in on.
We do use analytics, and that includes sampled session recordings of app screens.
AI features send text (including the player names and jersey numbers you choose to include) to AI providers to produce audio. Nothing is generated unless you ask for it.
Sharing a team uploads that team’s content, including photos and recorded audio, so the people you invite can receive it.
Swing Coach uploads the swing videos you send it. AI providers analyze them without any names, and we keep them privately until you delete the swing.
We advertise the app and measure whether those ads work. We do not sell your personal information, and we do not collect Apple’s advertising identifier (IDFA).

Information You Provide

Users may enter the following information directly in the app:

Player names, jersey numbers, and positions
Optional player photos
Voice recordings for announcements
Walkup song selections and playback preferences
Team names and lineup configurations
Swing videos you send to Swing Coach, and your feedback on its coaching
Your email address, and your name if you add it, when you create a Walkup Pro account. Signing in with Apple or Google shares the email address (and the name, if you allow it) from that service.
Optional email address if you contact us for support

All of this information is entered by adult users (parents, coaches, or team managers). On iPhone it is stored on your device, and it reaches our servers only when you use a feature that transmits it, namely AI generation, Swing Coach, signing in, sharing a team, player, or swing, joining a shared team, or sending us feedback. On Android and the web app, your teams are stored on our servers. Those features are described below.

How Your Data Is Stored

Your data is yours. Walkup Pro stores the content you create locally on your device using SwiftData, and optionally syncs it across your Apple devices via iCloud (CloudKit). We do not access your private iCloud data. Apple encrypts it and we cannot read it.

Analytics, Session Recording & Diagnostics

To understand how the app is used and to find bugs, Walkup Pro collects usage data, crash diagnostics, and sampled session recordings. This data is tied to a random identifier generated by the app (and, if you sign in, your Walkup Pro account’s identifier), not to your name, email, or Apple ID. It is never sold.

PostHog collects product analytics (screen views, feature interactions), error reports, and session recordings. Session recordings capture the app screens you interact with, which can include player names, jersey numbers, and player photos that appear on screen. Swing Coach videos and frames are always hidden in recordings. Recordings are sampled rather than always on.
TelemetryDeck collects a small set of anonymous, aggregate signals as a backup measure of overall app usage.
Sentry collects crash reports and stack traces when something goes wrong, so we can fix bugs. A crash report from the iPhone app can include a screenshot of the screen at that moment. No screenshot is taken while a swing video is on screen.

The app does not currently offer an in-app switch to turn analytics off. If you would like your analytics and session recording data deleted, email us at team@walkuppro.com and we will remove it.

Advertising & Measurement

We advertise Walkup Pro, and we measure whether those ads lead to installs and subscriptions. To do that, we share subscription milestones (such as starting a free trial or subscribing) with advertising platforms. We share the event and a device identifier, never your roster content, recordings, or the names you enter.

Meta (Facebook and Instagram) receives app events through the Meta SDK, and our server also reports trial and subscription events to Meta’s Conversions API.
Google Ads receives conversion events for the same purpose.
Apple SKAdNetwork and Apple Search Ads provide Apple’s privacy-preserving attribution, which reports campaign performance to us in aggregate.

For attribution we use the identifier for vendor (IDFV), an Apple-provided identifier that is unique to us and resets when you delete all of our apps. We do not collect Apple’s advertising identifier (IDFA), and the app does not show the App Tracking Transparency prompt, because we do not track you across other companies’ apps and websites.

AI Features

AI features run only when you start them, and each sends only what it needs.

AI announcer voices: the announcement text you enter, which usually includes a player’s first name and jersey number, is sent through our server to ElevenLabs, which returns spoken audio.
AI songs and team anthems: your prompt details, which may include player first names and jersey numbers if you ask for them in the lyrics, are sent to xAI to draft lyrics and to ElevenLabs to produce the music.
Swing Coach: the swing video you send, and still frames from it, go to AI models that coach the swing. No names are sent. See Swing Coach below.

Your announcement recordings are never sent to AI providers. The announcer and song features are text-to-audio, so nothing you record with the microphone is used as input.

Swing Coach

Swing Coach is an optional feature that coaches a player’s swing from a short video. It runs only when you send it a video.

What we receive: on iPhone, the app sends a small, low-resolution copy of the video you record or pick and the few seconds around the swing, slowed down, both without sound. On Android and the web app, you upload the video itself, and our server makes the same two copies without sound and then deletes your upload. With each swing we also receive the app’s random identifier, your Walkup Pro account if you’re signed in, your network address, the app version, device model, operating system version, and the language for the coaching. We do not receive the player’s name for coaching.
AI analysis: our server sends the video and still frames from it to AI models through OpenRouter, a service that routes requests to AI providers. The coaching uses models from Google, Anthropic, and OpenAI today. When we test the coaching, we sometimes run swings through models from other AI providers too, the same way. Each request is set to use only providers with a zero data retention policy, which do not store request data or use it to train AI. We send no names, and we tell the models never to identify anyone. The models find the swing and its key moments, note whether the player bats or throws left or right, and write the coaching.
What we keep, and why: we keep the clips in private cloud storage (Cloudflare R2), and the coaching and a record of each AI request in our database. We keep them so you can watch your swings again, and so a few members of our team can review and test the coaching. Clips are kept until you delete the swing. A clip from a video that was never coached is deleted automatically after about a day.
Deleting a swing: deleting a swing in the app deletes its clips, its coaching, your feedback on it, and any share link to it from our servers. On iPhone, deleting a player or a team, or using Delete All Data, deletes their swings the same way, and deleting your Walkup Pro account deletes every swing it made. All we keep is a cost record (which AI models ran and what they cost) with nothing that links it to you or the swing, plus a note that you used a swing, with its time and network address, so free swings are counted fairly. Deleting your account deletes that note too. A deleted swing’s coaching can stay in our database backups for up to a week, and our analytics events about a swing (for example, that it was coached and which hand the player bats with) follow the analytics retention below.
Who can see a swing: you, on the devices that use your Walkup Pro account, anyone you send a share link to, and a few members of our team who review swings to check and improve the coaching.
Sharing a swing: sharing creates a link. Anyone who has the link can watch the swing in slow motion and read the coaching, and messaging apps can show a preview image from the swing. The player’s first name appears only if you choose to show it. Stop Sharing, or deleting the swing, turns the link off. Previews already shown in someone’s messages stay there.
Your feedback: when you give the coaching or a drill video a thumbs up or down, or add a note or a correction, we store it to improve Swing Coach. Feedback on a swing is deleted with the swing, and all of it is deleted with your account. A suggestion you send from the Coach tab reaches us like any other feedback you send in the app.

Swing videos usually show a child. Send and share only videos you have permission to share.

Sharing a Team or a Swing

Sharing is optional. When you share a team or a player, or invite someone to collaborate on a team, the relevant content is uploaded so recipients can receive it. That can include team and player names, jersey numbers, player photos, team logos, song selections and clip timestamps, recorded announcements, and the team’s schedule feed address. Anyone with the share link can import that content, so please treat share links the same way you would treat any link containing children’s information. Sharing a swing works the same way and is described under Swing Coach.

Data Retention

On-device data: Stored indefinitely until you delete it within the app or delete the app itself.

Analytics data: Anonymous analytics events are retained for up to 24 months, then automatically purged. Crash reports in Sentry are retained for 90 days.

AI generation data: We retain the prompts you submit for AI generation, along with the outcome of each generation, so earlier takes stay available to you in the app and so we can improve generation quality over time. These prompts contain the player first names and jersey numbers you chose to include. You can ask us to delete them at any time.

Swing Coach data: Clips and coaching are kept until you delete the swing, its player, or your account. After that we keep a cost record that doesn’t link to you, and, until you delete your account, a note that you used a swing. If you don’t have an account, email us and we will delete that note. Deleted coaching can stay in our database backups for up to a week. See Swing Coach above.

Shared team data: Retained while the share or collaboration is active, so invited members keep access. Removing a share removes the associated content.

Support correspondence: If you email us or send feedback in the app, we retain that correspondence for as long as necessary to resolve your inquiry and for our records, unless you request deletion.

Device Permissions

Microphone Access: Used to record player announcement audio. Recordings are stored on your device and sync through your private iCloud account. They leave your device in one case, which is when you share a team or player, because the recordings attached to that team or player are uploaded so recipients can receive them. If you never share, your recordings are never uploaded to us.

Camera: Used to record a swing for Swing Coach. The in-app recorder captures video without sound.

Photo Library: Used to read a swing video you pick for Swing Coach. Nothing in your library is changed.

Background Audio: Allows walkup music to continue playing when the screen is locked or you switch apps during Game Day mode.

Apple Music Access: If you choose to pick walkup songs from your Apple Music library, Walkup Pro requests MusicKit access to search and play songs from the Apple Music catalog.

Notifications: If you enable notifications for shared teams, we store a device token so we can deliver them.

Third-Party Services

Walkup Pro connects to the following services on your behalf:

iTunes Search API: Song searches are sent to Apple’s public API. Only search terms are transmitted, with no personal information.
Apple Music & MusicKit: Enables searching and playing songs from the Apple Music catalog. Subject to Apple’s terms and privacy practices.
ElevenLabs (via our backend): Powers optional AI announcer voices and AI-generated music. Your prompt text is forwarded for processing. ElevenLabs’ privacy policy governs their handling of data during processing.
xAI (via our backend): Drafts lyrics for AI-generated team anthems from the prompt details you provide.
OpenRouter (via our backend): Routes Swing Coach videos and frames to AI models, today from Google, Anthropic, and OpenAI (and other providers when we test the coaching), limited to providers with zero data retention.
PostHog, TelemetryDeck, and Sentry: Analytics, session recording, and crash reporting, as described above.
Meta and Google Ads: Advertising measurement and optimization, as described above.
Apple StoreKit: Processes in-app purchases and subscriptions. Apple handles all payment data and we never see your card details. Refer to Apple's Privacy Policy for details.
iCloud / CloudKit: For optional cross-device sync of your teams, players, and songs, and for delivering shared teams. Data is encrypted by Apple in transit and at rest.
Railway: Hosting for our backend.
Cloudflare R2: Private storage for Swing Coach clips and other files you send us.
Resend: Sends sign-in codes and other transactional email related to submissions you make to us.
Sign in with Apple and Google: If you sign in with one of them, it shares your email address (and your name, if you allow it) with us.

We do not sell, rent, or lease your personal information to any third party. We may disclose information if required by law, to enforce our Terms of Use, to protect our rights or safety, or in connection with a merger, acquisition, or sale of assets (in which case we will notify you).

Children's Privacy

Walkup Pro is designed for use by adults (parents, coaches, and team managers) to manage youth baseball teams. It is not directed at children, and children do not create accounts or submit information to us directly.

Because the app is used for youth sports, adults will often enter information about minors, such as a first name, jersey number, and photo. That information:

Is entered and controlled by adult users, not by children
On iPhone, stays on the adult’s device, or syncs via their personal iCloud account
Reaches our servers only when that adult shares a team, uses an AI feature that includes a player’s name, sends a swing video to Swing Coach, or uses the Android or web app

Please enter only what you need. If you are a coach or team manager sharing a roster, make sure you have permission from the families involved. We do not knowingly collect personal information directly from children under 13. If we learn that we have inadvertently collected personal information from a child under 13, or if you believe information about a child should be removed, contact us at team@walkuppro.com and we will delete it promptly.

Deleting Your Data

You can delete your information at any time by:

Opening Settings → Data Management → Delete All Data in the app
Deleting individual teams, players, or songs from within the app
Deleting the app, which permanently removes all locally stored data
Disabling iCloud sync from your device’s Apple ID settings
Removing a share, which removes the shared copy of that content
Deleting a swing in Swing Coach, which deletes it from our servers
Deleting your Walkup Pro account, which also deletes every Swing Coach swing it made

To request deletion of data we hold on our servers (such as support emails, AI generation prompts, analytics, or session recordings), contact us at team@walkuppro.com and we will respond within 30 days.

Your Rights (GDPR & CCPA)

Most of the content you create stays on your device, so you already have full access to it, can delete it at any time, and can export it from within the app. For the data we do hold on our servers, the rights below apply and we will act on your request.

For EU/EEA residents (GDPR): To the extent we process personal data (for example your account details, support emails, AI generation prompts, Swing Coach videos and coaching, shared team content, analytics, and session recordings), the legal basis is legitimate interest (operating and improving the app) or your consent. You have the right to access, rectify, erase, restrict processing of, or port your personal data, and to withdraw consent at any time. Contact team@walkuppro.com to exercise these rights.

For California residents (CCPA/CPRA): We do not sell your personal information. In the preceding 12 months, the categories of personal information we have collected are: identifiers (a random app-generated identifier, the identifier for vendor, a device token if you enable notifications, your email address and name if you create an account or contact us, and the network address sent with each Swing Coach swing), internet or electronic activity (analytics events and sampled session recordings), commercial information (subscription and purchase events), and audio and visual information (recordings and photos, only if you share a team or use the Android or web app, and swing videos you send to Swing Coach). We share subscription events with advertising platforms for measurement, which may be treated as "sharing" for cross-context behavioral advertising under California law. You have the right to know, to delete, to correct, to opt out of that sharing, and not to be discriminated against for exercising your rights. Security

We take reasonable measures to protect the information associated with our services. On-device data is protected by your device's built-in encryption. Data transmitted to our backend is encrypted in transit using TLS. iCloud data is encrypted by Apple in transit and at rest.

However, no method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee its absolute security, so we limit what we collect and retain.

Data Breach Notification

In the unlikely event of a data breach affecting personal information we hold, we will notify affected users and relevant authorities as required by applicable law. For breaches affecting EU/EEA residents, we will notify the relevant supervisory authority within 72 hours of becoming aware of the breach, where feasible. We will also notify affected individuals without undue delay if the breach poses a high risk to their rights and freedoms.

Permitted Use

Walkup Pro is intended for personal, recreational, non-commercial use (youth baseball, amateur leagues, and fan experiences). It is not intended for professional, commercial, or broadcast use. AI-generated content is for personal enjoyment only. See our Terms of Use for full details on permitted and prohibited uses.

Changes to This Policy

Updates to this policy will be reflected by a revised "Last updated" date at the top of this page. Material changes will be communicated through the app. We encourage you to review this policy periodically. Your continued use of the App after changes are posted constitutes your acceptance of the updated policy.
