Privacy Policy — Walkup Pro

Introduction

Cedar Dynamics LLC ("Cedar Dynamics," "we," "us," or "our") built Walkup Pro as a tool for coaches, parents, and fans to create memorable walkup experiences for baseball players. We are committed to protecting your privacy and being transparent about how data is handled in the app. This Privacy Policy applies to the Walkup Pro iOS application and the website at walkuppro.com.

Information You Provide

Users may enter the following information directly in the app:

Player names, jersey numbers, and positions
Optional player photos
Voice recordings for announcements
Walkup song selections and playback preferences
Team names and lineup configurations
Optional email address if you contact us for support

All of this information is entered by adult users (parents, coaches, or team managers) and is stored locally on your device. We do not collect or receive this data on our servers unless you use a feature that explicitly transmits it (such as AI generation or data export).

How Your Data Is Stored

Your data is yours. Walkup Pro stores the content you create locally on your device using SwiftData, and optionally syncs it across your Apple devices via iCloud (CloudKit). We do not access iCloud data — Apple encrypts it and we cannot read it. AI-generated content is processed via secure servers and is not retained after delivery to your device.

Anonymous Analytics & Diagnostics

To improve the app, Walkup Pro collects anonymous, aggregated usage data and crash diagnostics. These signals are not tied to your identity and are never sold or shared for advertising.

PostHog — anonymous product analytics (screen views, feature interactions) and optional in-app surveys.
TelemetryDeck — privacy-first, anonymized usage analytics.
Sentry — crash reports and stack traces when something goes wrong, so we can fix bugs.

You can opt out of ad-related tracking by enabling Limit Ad Tracking in iOS Settings. Note that crash reporting (Sentry) cannot be individually disabled but does not collect personally identifiable information.

Data Retention

On-device data: Stored indefinitely until you delete it within the app or delete the app itself.

Analytics data: Anonymous analytics events are retained for up to 24 months, then automatically purged. Crash reports in Sentry are retained for 90 days.

AI processing data: Prompts and generated audio sent to AI services are processed in real time and are not retained after the generated content is delivered to your device.

Support correspondence: If you email us, we retain that correspondence for as long as necessary to resolve your inquiry and for our records, unless you request deletion.

Device Permissions

Microphone Access: Used to record player announcement audio. Recordings are stored locally on your device and are never uploaded or shared unless you use AI features.

Background Audio: Allows walkup music to continue playing when the screen is locked or you switch apps during Game Day mode.

Apple Music Access: If you choose to pick walkup songs from your Apple Music library, Walkup Pro requests MusicKit access to search and play songs from the Apple Music catalog.

Third-Party Services

Walkup Pro connects to the following services on your behalf:

iTunes Search API: Song searches are sent to Apple's public API. Only search terms are transmitted — no personal information.
Apple Music & MusicKit: Enables searching and playing songs from the Apple Music catalog. Subject to Apple's terms and privacy practices.
ElevenLabs (via our backend): Powers optional AI announcer and walkup-music generation. Your prompts are forwarded for processing but are not retained after the generated audio is delivered. ElevenLabs' privacy policy governs their handling of data during processing.
Apple StoreKit: Processes in-app purchases and subscriptions. Apple handles all payment data; we never see your card details. Refer to Apple's Privacy Policy for details.
iCloud / CloudKit: For optional cross-device sync of your teams, players, and songs. Data is encrypted by Apple in transit and at rest.

We do not sell, rent, or lease your personal information to any third party. We may disclose information if required by law, to enforce our Terms of Use, to protect our rights or safety, or in connection with a merger, acquisition, or sale of assets (in which case we will notify you).

Children's Privacy

Walkup Pro is designed for use by adults (parents, coaches, and team managers) to manage youth baseball teams. While player information (names, jersey numbers, photos) entered into the app may relate to minors, this information is:

Entered and controlled by adult users, not by children
Stored locally on the adult's device (or synced via their personal iCloud account)
Not collected, transmitted to, or stored on Cedar Dynamics servers

We do not knowingly collect personal information directly from children under 13. The App is not directed at children and requires users to be at least 13 years old (with parental consent for users ages 13–17). If we learn that we have inadvertently collected personal information from a child under 13, we will delete it promptly. If you believe a child has provided us with personal information, please contact us at team@walkuppro.com.

Deleting Your Data

You can delete your information at any time by:

Opening Settings → Data Management → Delete All Data in the app
Deleting individual teams, players, or songs from within the app
Deleting the app — this permanently removes all locally stored data
Disabling iCloud sync from your device's Apple ID settings

To request deletion of any data we may hold (such as support emails or analytics), contact us at team@walkuppro.com and we will respond within 30 days.

Your Rights (GDPR & CCPA)

Because the content you create is stored locally on your device and is not collected by Cedar Dynamics, traditional data-rights requests (access, deletion, portability) are fulfilled automatically — you already have full access, can delete at any time, and can export your data as a single .walkup file from within the app.

For EU/EEA residents (GDPR): To the extent we process any personal data (e.g., support emails, analytics), the legal basis is legitimate interest (improving the app) or your consent. You have the right to access, rectify, erase, restrict processing of, or port your personal data, and to withdraw consent at any time. Contact team@walkuppro.com to exercise these rights.

For California residents (CCPA): We do not sell your personal information. You have the right to know what personal information we collect, to request deletion, and to not be discriminated against for exercising your rights. In the preceding 12 months, the categories of personal information we have collected are limited to: identifiers (email address, if you contact us) and internet/electronic activity (anonymous analytics). We have not sold or shared any personal information.

Security

We take reasonable measures to protect the information associated with our services. On-device data is protected by your device's built-in encryption. Data transmitted to our backend for AI processing is encrypted in transit using TLS. iCloud data is encrypted by Apple in transit and at rest.

However, no method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee its absolute security.

Data Breach Notification

In the unlikely event of a data breach affecting personal information we hold, we will notify affected users and relevant authorities as required by applicable law. For breaches affecting EU/EEA residents, we will notify the relevant supervisory authority within 72 hours of becoming aware of the breach, where feasible. We will also notify affected individuals without undue delay if the breach poses a high risk to their rights and freedoms.

Permitted Use

Walkup Pro is intended for personal, recreational, non-commercial use (youth baseball, amateur leagues, and fan experiences). It is not intended for professional, commercial, or broadcast use. AI-generated content is for personal enjoyment only. See our Terms of Use for full details on permitted and prohibited uses.

Changes to This Policy

Updates to this policy will be reflected by a revised "Effective Date" at the top of this page. Material changes will be communicated through the app. We encourage you to review this policy periodically. Your continued use of the App after changes are posted constitutes your acceptance of the updated policy.
